As Program Manager, you will establish and direct the Program Management Office for a large, multi-functional division spanning Customer Service, Operations, Underwriting, Grievance, and Partner Management.
You will act as the operational engine for our most critical initiatives, establishing the frameworks to track progress, manage risks, and ensure cross-functional alignment. Crucially, you will translate complex project data and operational metrics into clear, compelling executive narratives and presentations. This role requires rigorous project management expertise, high emotional intelligence, and the ability to influence division heads to deliver on strategic objectives.
Key Responsibilities
- Centralized Program & Portfolio Management
- Portfolio Governance: Design and implement a centralized tracking system for all key projects, programs, and strategic initiatives running across the division.
- Execution & Accountability: Drive initiatives from scoping to delivery. Actively manage project timelines, unblock bottlenecks, and ensure dependencies between siloed departments (e.g., Underwriting and Customer Service) are mapped and mitigated.
- Resource & Capacity Planning: Monitor bandwidth across the teams to ensure critical programs are adequately resourced and prioritized.
- Executive Reporting & Narrative Synthesis
- Executive Presentations: Own the creation of high-stakes presentations (PPTs), board decks, and business reviews. You must be able to synthesize project statuses and operational metrics into cohesive, 5-slide narratives that drive decision-making.
- Performance Dashboards: Build and maintain visibility into divisional OKRs (Objectives and Key Results) and SLAs, translating raw data into actionable insights for leadership.
- Meeting Governance: Run rigorous leadership and steering committee meetings. Set the agenda, pre-read materials, and ensure time is spent making decisions on escalated risks rather than simple status read-outs.
- Cross-Functional & Partner Alignment
- Stakeholder Management: Serve as the primary connector between internal departments and external/internal partners, ensuring all sides are aligned on project scopes and deliverables.
- Process Standardization: Identify operational inefficiencies and champion standardized project management frameworks (Agile, Waterfall, or hybrid) that fit the culture and speed of the division.
- Issue Resolution: Act as the first point of escalation for cross-departmental friction, triaging operational issues.
Qualifications & Skills
- Experience: 8–12+ years of experience leading a Project Management Office (PMO), or serving in a senior Business Operations/Program Management capacity.
- Industry Context: Background in Financial Services, Insurance, Fintech with a strong working understanding of underwriting risk, operational SLAs, and customer service environments.
- Executive Communication: Exceptional written and visual communication skills. Proven ability to distill complex program data into crisp, executive-ready presentations (expert-level PowerPoint/Google Slides is mandatory).
- Methodology & Tools: Deep expertise in program management methodologies (PMP, Prince2, or Agile certifications are a plus) and enterprise tracking tools (Jira, Asana, MS Project, Smartsheet).
- Influencer: Track record of successfully managing matrixed teams. You must be comfortable holding senior function heads accountable to deadlines without having direct HR authority over them.
- Analytical Rigor: Strong data acumen to look at operational dashboards, spot anomalies, and ask the right questions to project owners.
